MYOB Advanced is helping Tulgeen Disability Services reduce time spent on administration, while increasing data integrity for more accurate invoicing. 

Tulgeen Group’s purpose is to ‘Enable a good life’ for people with disability. It does this through providing a broad range of quality services – including employment, in-home support, training and education services – to enhance the skills and lives of each client.

Invoicing is fairly complicated for Tulgeen. It invoices fortnightly for cashflow reasons and a single client may use multiple service groups. Adding to the complexity, different services can be Government or privately funded. A Government agency may pay Tulgeen to provide accommodation, while family may fund day activities. Some services are provided 24 hours a day.

The integrity of the data is the most important thing for accounting purposes, says Finance Officer Leea Ferris.

“To ensure data integrity we must accurately enter the activities of the client,” she says.

“Our client system talks to Advanced, so we enter information once only. This avoids duplication like an outing – you have a staff member taking the client on an outing, another person records it and a third person invoices it.”

To cut invoicing time, Leea is working with Enprise to write a report that will enable her to upload a live spreadsheet with all client service provision details.

“Advanced is a platform that we’re tailoring to suit,” she says.

“Things are going along smoothly for us – Enprise have done well. We’re based in Bega, which is two-and-a-half hours out of Canberra, and Enprise gave us on-site training. It was good training and I’m pretty confident now. Our support contract means we can just ask questions as we go, which is working well.”

Some processes – like search functions – are much faster, she says.

“I can find things even if I can only remember part of the name. If I’m looking to pay an account for a business and I only remember part of the name for example, I can just search part of that name and find it quickly. I’m finding that really handy. I also save time by copying and pasting journals. I don’t have to create a new journal – just copy and paste an existing one, change the date and save it. This works with invoices too.”
