Hi-Tech Packaging Ltd was using MYOB EXO at only the most basic level, but has now placed it at the heart of a vibrant business that has almost trebled its revenues in six years.
When Kerry Renwick bought the business with her husband Terry more than six years ago, MYOB Exo was already implemented at Hi-Tech Packaging. Although the previous owners had been using the software, it had not been upgraded for some time and was used at only a fraction of its potential. Today the company has a whole new lease on life. It has moved to new, larger premises and is hiring new staff. It’s thriving and growing, and has MYOB Exo (and since February 2010, Web Ninja CRM) at its heart.
“Everything that can be in Exo, is in Exo,” says Director Kerry Renwick.
“We are using so many more Exo features, including quotations, overseas ordering and invoicing. We’re also generating some seriously useful reporting.”
One example is an accurate stock reordering report. Hi-Tech Packaging uses this to help manage inventory, and ensure it can always fill customer orders in a timely way.
“We are also generating excellent sales reports – ‘debtors by margin’ is an incredibly useful one. It tells us, down to the invoice number, what the margin has been on each order. It’s a big alert that tells us if a piece of business is unprofitable – before it gets too late,” Kerry Renwick says.
The company’s stock is all loaded by bay location. This means staff can see from the stock report where the stock is located. This helps with faster stock takes and speedy picking of sales orders. When delivering the goods by the company truck or van, the packing slip and sales order both go to the customer. The customer signs and returns the sales order, which provides the receipt of goods.
For deliveries by courier or out of town Hi-Tech Packaging has an extra field on sales orders for courier tracking numbers. Customers receive swift answers to queries on what they ordered and when it was delivered. Sales orders also have a status, telling if they have been picked and invoiced. Anyone in the company can look into Exo to see at what stage the orders are.
Stock sales by debtor is another customer report the company uses a lot. It lists what each customer has bought over the last month and is often sent to the customer as a statement.
Hi-Tech Packaging has bought importer/ exporter software for MYOB Exo. Kerry Renwick says using this tool has helped her manage price increases that resulted from the New Zealand dollar falling in value.
“It enabled us to send a personalised letter to each customer, telling them exactly what their new price would be by product,” she says.
“All we had to do was export out the pricing policy, increase the dollar values and then import back into pricing policy. We sent over 300 letters out at one time. It was so much more accurate than a form letter saying price increases would be between x% and y%. Every customer knew exactly what their price increase would be, so they could manage their budgets with precision. They really appreciated that.”
Information – such as quotes – is entered into Exo under ‘prospects’ which brings potential customers into the new CRM system. Hi-tech Packaging began using Web Ninja CRM last month, tightly integrated with Exo.
Kerry Renwick says she chose Web Ninja for three main reasons. “It fits the way we work, it’s a good price, and everything is in one place. In particular it is a natural fit with the way we use marketing classes. We market our products by target market and industry categories, because we split our sales force that way.”
Kerry rates the quality of support she receives from Enprise as ‘very good’.
“There are many parts to MYOB Exo, and I suspect a lot of companies are only using a particular part. We have grown from strength to strength and Exo has kept pace with us very comfortably. As importers, stock is critical and Exo does this very well. I love all the analysis. I would encourage any business using MYOB Exo to take a fresh look at what it can do for you – you will likely find there is significant extra value you can squeeze out of your existing investment.”
