A chance meeting at Fieldays, the Southern Hemisphere's biggest agribusiness event, saw K & L Distributors implement an MYOB Exo system that is supporting strong business growth without the need to hire a full time administrator.
The Hamilton-based fuel and oil distribution firm is a family business. Founders Ken and Linda Rowe, and now son Brent and his wife Megan, all work in the business together.
The company offers onsite refuelling services, makes bulk deliveries, and also issues fuel cards. Customers use their fuel cards to charge fuel throughout the month, with K& L Distributors carrying the debt .At the end of each month the firm receives invoices for all of its customer fuel cards. It then charges its customers.
“Preparing our customer invoices used to take me all day,” Ken Rowe says.
“If I missed one, or did one incorrectly, the invoicing run wouldn’t balance and I’d have to check every one again. The whole process takes ten minutes now. There’s no human error with invoices or statements anymore.”
The company’s old accounting system couldn’t charge out to four decimal places, which is necessary in the fuel business. Business growth meant company revenues increased to the point where K & L Distributors legally had to move GST accounting from a payment basis to an invoicing basis. This meant paying GST on invoices issued.
“We knew we needed to update our systems,” Ken Rowe says.
“Choosing software is one thing, but you also need to put it in right and get it going the way you want. Our son Brent went to Fieldays last year with one of our fuel reps. We looked at two other accounting systems but Enprise was easy to work with. Nothing we put to them was a major problem. It all worked pretty seamlessly.”
K & L Distributors opted for an on-premise system in preference to going to the cloud. Ken Rowe says he prefers to keep control of his own data: “The clouds move and the weather changes.”
Enprise scoped, implemented and conducted onsite training for the new MYOB Exo system.
“Their training was good. I’m an old dog but I’ve learnt some new tricks. I picked it all up pretty easily,” Ken says.
“I would definitely recommend Enprise because of what they’ve done for our business. They’ve saved us a labour unit – I would have had to hire another person just to keep on top of the admin. GST is easy now, you do have to load it in daily but that means it’s all there at end of month. You just push a button and it’s done. I do way less admin now – that’s the only reason I have time to talk to you for this story. The longer we use our new solution, the more we discover how well it fits our business.”
